Minutes- PPSBA General Meeting

Thursday, December 3, 2009 at 6:30 pm 

I.                     Welcome!  The PPSBA meeting was held December 3, 2009 in the PPE cafeteria.  Mrs. Greggs called the meeting to order at 6:42 pm. 

 

II.                    Reports

a.        Secretary - The minutes from the November 5th meeting were emailed and reviewed.  There was one correction noted on the spelling of Kristin Friedenberg’s name.  Joanne Wright made a motion to accept the minutes as amended, and it was seconded.

b.       Treasurer – Joanne Wright presented the monthly financial report.  We opened with $6,070.  Income of $1,498 for this month was manly from recorder sales.  Expenses totaling $1,192 were primarily for formal uniforms.  Our closing balance is $6,376.  Luis Valdes made a motion to accept the report, and the motion was seconded.

c.        President/Vice-Presidents – Denise Levin, President, reported some difficulty keeping the students organized during rehearsals.  Parents that are available are encouraged to help out during rehearsals and with checking uniforms. 

d.       Mrs. Greggs- There is no rehearsal on December 17th; the next rehearsal will be January 14th.  December 16th is the last performance.

 

III.                  Old Business

a.        Uniforms

                                                   i.      Formal Uniform Check Day is Dec. 7 for those ordering new dresses or Nov. 30 for everyone else. Many were unprepared and must bring items for recheck. All but 3 dresses are in; the remaining dresses are expected by 12/9 latest. All boys’ items are in and distributed. Formal uniforms will be worn on 12/9 and 12/16.

Some parents provided feedback to Mrs. Greggs regarding the uniform checking processes.  She explained that the day of uniform checks is hectic; there are a lot of students to check and it takes time to get everyone settled and focused back on the rehearsal.  Any parent that helps with uniform checking and is familiar with the process is welcome to check his/her own child’s uniform at home to save time.  These students will not have to bring in their uniforms to be checked; the parent will just need to provide a note that the uniform was checked at home.

                                                  ii.      Informal uniform needed for Airport show 12/4/09.

                                                iii.      Santa hat purchases/ snowman repairs/ costume system. Our old Santa hats are in poor condition, and it was suggested that we purchase new hats.  The cost will be under $200.  There were no objections.

b.       Winter Performances

                                                   i.      WinterFest Performance, Ft. Laud. Airport 12/4/09 (no 3rd graders), 9am @ Terminal 3 Baggage Claim- There will be no 3rd graders due to a scheduling conflict with another field trip. Official on-the-bus chaperones were notified on Tuesday; any other parents are welcome to meet us at the airport.  There will be a Ziploc bag for each child with a Santa hat, and these will be returned following the performance.  Kids should wear Informal uniforms and bring their recorders, props, water bottle & book for silent reading. Lunch will be provided by the airport.  We leave PPE at 8:30am and return at 1:30pm. Help is needed with equipment transportation & setup/take-down. We must bring our own sound system. The A cast performs the 1st show, and the B cast performs the 2nd show.

                                                  ii.      “Winter Wonderful!” Concert & Sing-Along for Parents & Friends- Wed. Dec. 9 at 7pm at SPHS- Choristers should arrive no later than 6:15pm in formal uniforms. Everyone should bring recorders, props, and an unwrapped toy to help local needy children. Thanks to those who signed up to help for refreshments, costumes, photos, sets, props, etc.  We still need some help with passing out programs and decorating the stage.  Also, we need help backstage during the show; the show can be seen from the sides of the stage.

In rehearsals, students have been encouraged to discuss beliefs with their families.  In the show, the choristers sing a variety of songs to experience all cultures and represent as many PPE students as possible.  There is no intention of affecting any family’s beliefs.

Toys will be donated to DCF and JAFCO and/or local needy families.  Sylvia Fierro-Culver will design a flyer to send out to the entire school and a phone call will go out as well.

                                                iii.      “Winter Wonderful!” Concert & Sing-Along for PPE Kids & Staff- Wed. Dec. 16 at 8:30am (PreK-2nd) & 9:30am (gr. 3-5) at PPE Cafeteria- This will be the same show as December 9th. The B cast performs the 8:30am show; the A Cast performs at 9:30am. Parents of 3rd graders may attend the 8:30 show to see their children in their larger roles.  Students should come to school dressed in formal uniforms and leave a change of clothes in their classrooms.

 

IV.                  New Business

a.        Need of the Month- Avery labels 30/page; Wish List- scanner/copier/printer for music room office.

b.       Fundraising: Upcoming Fundraisers include:

                                                   i.      Concert program book advertisement – The deadline is tonight; programs will be printed on Monday.

                                                  ii.      Recorder sales- thank you to Mrs. Schulman for helping with this.  Mrs. Friedenberg will be trained on the process as well.  The sale ends 12/11; another short sale will occur next spring for new students.

                                                iii.      Applebee’s Night in Jan./Feb.- Mrs. Tamkus said she will organize and check with Administration for 3 dates before contacting the restaurant.  Duffy’s was suggested as an alternative, and Sylvia Fierro-Culver volunteered to speak to Mrs. Tamkus about changing the location.

c.        The Spring Trip is still in the works - stay tuned.

d.       Looking Ahead: Mrs. Greggs will attend the Florida Music Educators Association State Conference in Tampa on January 6-9, 2010. There will be no rehearsal until January 14th. We will be back to 1 day per week until after FCAT.  There is no PPSBA meeting in January; there will be a Board planning meeting at Mrs. Greggs’ home Friday, January 22nd at 6:00 pm for all PPSBA Board members.  Please bring a dish or dessert to share. Children may come & play while adults meet. The spring schedule will go out in February after the planning meeting and administrative approval; the current schedule runs through Spring Break. There are some ideas in mind for the Spring theme, but nothing has been decided yet.
