PPSBA GENERAL MEETING Minutes 10/1
I. Welcome to booster meeting. Tonight begin with signing in and before you go give an email address because everything will be emailed (No paper). Our secretary’s report from the last meeting is tabled due to technical problems. Last meeting, the positive impact of chorus was discussed and the board was voted in.
A.Officer Reports:
1. Treasurer Joanne Wright
Treasurer: $2814.75 income from Applebees. Total $1685.00 No expenditures for last month and $4499.75 total for the month. A motion was made to accept the treasurer’s report by Leslie Ollendick . Sandra Camps seconds it.
Denise Levin and co signer for check to be determined.
2. President Denise Levin
T-shirts are green because of our going green theme. They are needed by Oct 13, but it will be extra $50 The majority pass this with a vote. This is for the sing-a-thon. T-shirts and jeans are to be worn that day.
2 positions needed:
Help with uniforms is needed for the beginning and end of the year and passing cummerbunds for shows. You will be needed on uniform check days like Monday, Dec. 7. There is also an informal check at the sing-a-thon, and right before spring concert checking for hem lengths. There are 4 rehearsals and you can have someone help. Judy Fernandez volunteers to help at the night checks.
3. VP of Staging and props : Mrs. Flynn is supposed to be helping.

Everyone voted in favor to accept them in this position.
4. VP of Volunteers: Mrs. Oliff had no new business. Tracy Hoffman has also volunteered to help.
5. VP Fundraising: Mrs. Beckwith can’t be here tonight. The portion of the cookie fundraiser goes to music. (10/21) Other fundraising activities are: Sing-a-thon, family night at Applebee’s maybe at the holiday time. Denise Levin will check it out.
6. VP of Music and Library: Trisha Swartzwelder absent
At the next rehearsal, we need to count the pack and slips with the copies of music and stamp each piece. Music will be in folder for next week. Students assigned permanent numbers. Four kids took notebooks home but didn’t bring them back, so all notebooks should be returned to school. Kids have check sheet for each piece of music checked out to them.
1. Seating There is a seating chart and it is done in height. Also they have assigned yarn index card which is stapled in order of how they stand. There are still some kids who have not signed their contracts.
2. Homeroom Folder: We also have a brand new distribution system folder for each homeroom teacher. Each student gets a regular and alternate. They get letters and put into folders. Those who are absent will have their folders still there, and they will then be given to homeroom teachers.
3. Sets: The sets from the last 2 years were Wizard of Oz and Pirates. The Oz set was lent out to Mrs. Gregg’s intern but has not been returned yet. The Pirates set can’t be kept on stage because it is a fire hazard. The pirate set was donated to a church in Parkland. Daniel Million said he can store it at his work. 954-548-9750. Once she gets set back , she will call him.
4. Chorus website www.musicmakerscamp.com
When you first type it in it brings you to the home page that is shared with the camp website. It costs Mrs. Gregg’s $75 every 3 months to host website so the PPSBA site piggy backs with the camp. For PPE singers, you can find: contact information or if you missed the agenda, audition info. , chorus contract, copy of welcome letter, handbook, and point system, rehearsal schedule, Sing-a-thon pledge sheet and how to turn in money., uniform info, order form due 10/8 Thurs. Letter needs to be in, wacky warm ups.
5. PPSBA booster page:
Agenda and minutes all from last year but will be on this year as well. You can access the minutes without coming to the meeting. The pictures are Pirates and Wizard of Oz, Arts teacher of the year, MDA holiday party. There is also a list of PPSBA board members and can contact them by email.
B. Old business:
1. Uniforms:
Informal: t-shirt, jeans, white sneakers/socks or black sneaker/socks. (crew socks only)
Formal: Dress and shoes. If smaller than size 7, should buy a bigger size and get altered locally. Harmonic dress $56 size 7- adult
For boy and girl alterations: don’t let them cut the hem because kids grow.
Boys: The tux store is near the Broward mall and will measure all boys on the 8th. We need payment by them for that reason. We can also get points for the school by buying at the Broward Mall. New tux and pants are $48, pants only $25, $20 shirt only
Shoes can be ordered from Payless or there are extras in the shoe bank for free. (No shipping if sent to store) Older choir kids should check to see if their uniform still fits and it does then write that on the back of the uniform paper. The hem has to touch top of shoes.
Denise Levin motions for the boys to be $25 for pants and shirt instead of $30 which is different from the other costs. This is seconded by Mrs. Wright. The motion passes.
Replacement bows are $5.
2. Fall Sing-a-thon: For the sing-a-thon, they will have shirts passed out that they already paid for. That was part of $20 we paid in registration.
Fall sing-a-thon needs: supervising rehearsals assist with informal uniform checks the day of, the Cafeteria will make brownies but we need to cut them up and put them in baggies and get pizza at 6 pm, serving food 6-6:30 and organize drinks. We will have lemonade. We need gift cards for our top earners: B-noble or Gamestop to purchase gift cards for top 3 pledge earners: 25$, 5$, 10$ (2 of each in case of tie) Donations for goodie bags by Tues 10/13. We put in pencils, erasers, pencils, stickers, anything you want to donate and candy.
After check out stations will tell you how much you earned, give you a goodie bag and brownie.
4 people to sign kids out, Denise Levin will be selling snacks for break. Mrs. Wright will be counting pledges but needs help. They also need critique sheets for the kids and to collate the kids’ data.
Photography will be done by Celia Schwab. She says any help would be nice. Mrs. G wants candid shots, but there is a lot going on that day so maybe another time. They can sell the pictures at the end of year.
Proceeds: 1/2 given to chorus and ½ into your child’s account
The spring trip will be coming up but haven’t heard an approval. Kids can apply half pledges to trip to keep cost down.
Musicianship test, sing, eat pizza/brownies for the sing-a-thon day.
Need $21 to get brownies and can win gift certificate.
The kids have been told how to turn in money like cash. Do not turn in money before Thursday ( Cash or money order only) There is rehearsal on the 15th, and you get a receipt for taxes.
C. New business:
1. Giving Tree: Thanks for all of the great stuff that has already been donated. Avery labels 5160 are still needed.
2. The winter show ad sheets will be coming home soon.
3. Recorder sales will be at the end of October. Kids not ready for recorders yet.
